PUBLIC SECTOR, TRANSIT & UTILITIES

Govern public investment with confidence.

Agencies, transit authorities and utilities balance capital programs, operating work and limited staff, all in public view. Acuity PPM gives them one governed project portfolio for both kinds of spending, without the cost or complexity of enterprise PPM.

WHAT MAKES IT HARDER

Capital and operating plans live apart

Capital planning runs as its own spreadsheet exercise, disconnected from operational projects and staff.

Every division competes for the same people

Divisions submit requests independently, and no one sees the combined demand on shared resources.

Decisions happen in public

Boards, councils and the public expect a clear, defensible record of what was approved and why.

Procurement and security reviews are rigorous

Vendor risk reviews, insurance requirements and security questionnaires are part of every purchase.

How Acuity PPM helps

Capital and operating budgets in one system

Track capital and operating budgets and actuals together, aligned to strategic objectives.

ESSENTIALS+

Intake and tollgates for every request

Configurable intake forms, decision workflows and phase gates mirror your approval process.

ESSENTIALS+

A shared view of resource demand

Capacity vs. demand by person, role or team, so divisions can commit to one resource plan.

PLUS+

A record that stands up to scrutiny

ESSENTIALS+

Keep construction in your construction tools

Run heavy construction work in tools like Procore, and govern capital planning and priorities in Acuity PPM.

Ready for your vendor review

SSO, role-based access, AES-256 encryption and documentation for security and procurement teams.

CUSTOMER STORY · TRANSIT

Central Ohio Transit Authority: one approved, resourced and funded project portfolio

THE SITUATION

COTA is a public transit agency with more than 1,100 employees serving over a million residents. There was no formal portfolio or project management practice, and capital planning ran on spreadsheets and Smartsheet, disconnected from operational planning.

THE RESULT

Every division now submits capital requests into Acuity PPM with full financials, prioritized alongside operational projects. A Resource Council where all ten divisions commit to the resource plan, followed by a financial tollgate, produces one approved portfolio covering capital and operating spend. The Acuity PPM project ID flows into COTA’s ERP for project-level cost insight.

“The big win for us is that now we’ve got capital planning and our Opex planning together in one tool. We use that now in our annual planning process to arrive at an approved and prioritized portfolio with budget for both Capital and Opex.”

Matt Martin · Sr. Director PMO, Central Ohio Transit Authority

CONSTRUCTION & ENGINEERING

One project portfolio view above the field tools.

Construction and engineering firms run work across Procore, Microsoft Project, Smartsheet and agile tools, often all at once. Acuity PPM sits above them, so leadership sees priorities, status and trends across every methodology without asking teams to change how they deliver.

WHAT MAKES IT HARDER

Every team uses a different method

Agile software teams, scheduled construction work and business projects each live in their own tool.

Leadership lacks one view

Status, priorities and trends have to be stitched together by hand before every review.

Capital and IT work compete

Construction programs and internal technology projects draw on the same budgets and leaders.

How Acuity PPM helps

A governance layer above execution

Keep delivery in Procore, Microsoft Project, Smartsheet or Jira, and govern the project portfolio in Acuity PPM.

One view of priorities and status

Stoplight status reports roll up to dashboards that stakeholders can check for themselves.

ESSENTIALS+

Schedules when you need them

Gantt with dependencies, critical path and baselines, plus Microsoft Project .mpp import.

ESSENTIALS+

Capital planning with full financials

Capital requests with budgets, actuals and benefits, prioritized alongside every other project.

CUSTOMER STORY · CONSTRUCTION

Austin Industries: one project portfolio view across every methodology

THE SITUATION

A 10,000-employee construction firm runs a mix of methodologies: Agile in Atlassian for software, plus Microsoft Project, Wrike and Smartsheet for construction work. Leadership needed a single project portfolio view across all of them.

THE RESULT

Acuity PPM brings the work together to give executives one view of priorities, status and trends, including a custom percent-complete trend chart that shows project momentum. Stakeholders now self-serve real-time status instead of pinging the PMO.

“Acuity PPM just does a great job of putting everything in one place for us and being able to provide business priorities as well as real-time updates of the actual status of our projects in one place for our stakeholders.”

Mike Tomasik · IT PMO Manager, Austin Industries

“I tell folks on the construction and capital delivery team: go use Procore for all the heavy construction work — I just need to know a few key things about your project in here.”

Matt Martin · Sr. Director PMO, Central Ohio Transit Authority

“The primary differentiator is that it has clearly been designed by those who understand project management beyond just the scope of execution processes.”

FINANCIAL SERVICES & INSURANCE

Governance that stands up to scrutiny.

Banks, credit unions and insurers run project portfolios under audit, examiner and board oversight. Acuity PPM gives them structured intake, defensible prioritization and an audit trail, with the security posture their vendor reviews require.

WHAT MAKES IT HARDER

Every decision needs a paper trail

Auditors, examiners and boards expect to see what was approved, by whom and why.

Many business units, one project portfolio

Proposals arrive from lending, operations, IT and compliance, each with its own urgency.

Stakeholders need different views

Finance, executives and the PMO each want the same data cut their own way.

Vendor reviews are thorough

Security questionnaires and risk assessments come before any contract.

How Acuity PPM helps

Total governance over intake

Configurable intake forms and decision workflows for proposals from every business unit.

ESSENTIALS+

An auditable log of decisions

A full audit trail of who changed what and when, plus approval history.

ESSENTIALS+

Defensible prioritization

Weighted value and risk scoring and a live Priorities page leaders review together.

ESSENTIALS+

Views for every stakeholder

Global views give finance, executives and the PMO their own cut of the same data.

Resource reality behind every decision

Capacity vs. demand by person, role or team for activate, hold or stop decisions.

PLUS+

Ready for your vendor review

SSO with Okta and Microsoft Entra ID, role-based access, AES-256 encryption, and your data never trains AI models.

CUSTOMER STORY · INSURANCE

From 22 Excel tabs to a monthly C-level review

THE SITUATION

An insurance company’s PMO updated 16 to 22 Excel tabs every month, one per developer, QA tester and business analyst. Every project added or closed meant touching every tab, with no holistic view of resources.

THE RESULT

Monthly resource planning now happens in a single forum with the development lead, QA manager and BA manager. It feeds a monthly C-level review that decides what to activate, hold, slow-burn or stop, all anchored in resource reality.

“Resource management with spreadsheets was very painful. We had to get out of the Excel/SharePoint world and Acuity PPM helped us do it.”

Chris C. · Director of Project Management, Insurance Company

CREDIT UNION

A multi-billion-dollar credit union configured global views for finance, executives, business planning and the PMO, so cross-functional meetings work from the same data without each team rebuilding its own filters.

“Acuity was easy to implement and maintain. It gave us exactly what we needed intake management, prioritization, portfolio oversight without adding complexity.”

Acuity PPM end user, Banking · SoftwareReviews

“The built-in dashboards and reporting tools were essential in creating transparency and driving meaningful executive conversations around project health and risk.”

RETAIL & CONSUMER

Prioritize stores, systems and supply chain together.

Retail and consumer companies run store openings, technology upgrades, supply chain changes and product development through the same leaders and the same people. Acuity PPM puts all of it in one project portfolio, so priorities and capacity are decided once, not team by team.

WHAT MAKES IT HARDER

Very different work, the same people

Store, IT, supply chain, HR and product initiatives all draw on a small set of key teams.

Spreadsheets stop scaling

Lists that worked in Excel or Google Sheets stop scaling as the PMO takes on more of the business.

Multiple brands or business units

Each group needs its own governance without losing a combined view of investment.

How Acuity PPM helps

One system of record for every project

Intake, prioritization, status and resource planning across IT and the business.

ESSENTIALS+

Capacity across the whole business

Capacity vs. demand by person, role or team, so competing initiatives are sequenced realistically.

PLUS+

Value tied to investment

Record expected benefits and financials, and report them alongside resource allocation.

ESSENTIALS+

Separate workspaces when you need them

Independent governance for a second group or brand, with efficient shared licensing.

CONSUMER NUTRITION

A global performance nutrition company managing R&D across multiple consumer brands now combines project phase, launch dates and financial benefits with resource allocation in one report, eliminating manual Excel work. A separate workspace gives a second R&D group its own governance on shared licensing.

NATIONAL TIRE RETAILER

A national tire retailer moved beyond spreadsheet-based tracking to a structured system of record for intake, prioritization and performance monitoring. After a successful pilot and security review, it signed a multi-year agreement.

“The ideal system for a company with a low or developing level of maturity in project portfolio management because it is straightforward to deploy and use and doesn’t require me to pay for a tonne of extra features that I don’t need.”
